Systara ("we", "us", or "our") operates Systara Motion, a transport management platform for Indian road freight transporters, accessible at motion.systara.in. This Privacy Policy explains how we collect, use, store, and protect your personal information when you use our platform.

When you create an account and use Systara Motion, we collect the following information:

• Account information: Full name, email address, phone number
• Business information: GSTIN, PAN, company name, business address
• Payment information: Payment details processed securely through Razorpay (we do not store your card or bank details directly)
• Usage data: Pages visited, features used, trip and billing data you enter into the platform
• Authentication data: Login credentials, OAuth tokens (when signing in via Google)

2. How We Use Your Information

We use the information we collect for the following purposes:

• Account management: To create, maintain, and secure your account
• Service delivery: To provide transport management features including trip tracking, bilty generation, and financial reporting
• Billing: To process subscription payments and generate invoices
• Analytics: To understand how our platform is used and improve the experience
• Communication: To send you important service updates, billing notifications, and support responses

3. Data Storage and Security

Your data is stored in a PostgreSQL database hosted on a secure Virtual Private Server (VPS). We implement industry-standard security measures including encrypted connections (HTTPS/TLS), secure password hashing, and regular backups. Access to production systems is restricted to authorized personnel only.

4. Data Sharing

We do not sell your personal information. We share data only with the following third-party services, strictly for operational purposes:

• Razorpay: For processing subscription payments securely
• Google: For OAuth authentication when you choose to sign in with Google

We may also disclose information if required by law, regulation, or legal process.

5. Cookies and Local Storage

We use the following cookies:

• auth_token (httpOnly): An essential, secure cookie used to maintain your authenticated session. This cookie cannot be accessed by client-side scripts.
• Analytics cookies: Used to understand usage patterns and improve the platform. These do not contain personally identifiable information.

6. Data Retention

• Active account data: Retained for the duration your account remains active
• Soft-deleted data: When you delete records (trips, biltys, etc.), they are soft-deleted and permanently removed after 90 days
• Financial records: Billing and payment records are retained for a minimum of 1 year to comply with applicable tax and accounting regulations
• After account deletion: Upon account deletion request, all personal data is removed within 90 days, except where retention is required by law

7. Your Rights

You have the right to:

• Access: Request a copy of the personal data we hold about you
• Correction: Request correction of any inaccurate or incomplete data
• Deletion: Request deletion of your account and associated personal data
